The Shift That Gave Me Breathing Room
The first thing I did was track my time for a week.
Not what I thought I was doing – what I was actually doing.
And it was confronting.
So much of my day was spent on tasks that didn’t require my experience or leadership. Things like:
Important? Yes.
But CEO-level work? No.
That’s when I hired my first offshore tasker. I started small, delegated a handful of repetitive tasks, and slowly reclaimed hours in my week.
Those hours gave me space to think strategically instead of constantly reacting.
I Stopped Being the System
The next big breakthrough was realising that my business ran on what I call “Kylie knowledge.”
If someone had a question, the answer was usually, “Ask Kylie.”
That’s not scalable. And it’s definitely not freeing.
So we began documenting our processes – simply and clearly:
-
How we onboard new properties
-
How we manage arrears
-
How we handle maintenance
-
How we process lease renewals
-
How we communicate with owners
Nothing fancy. Just repeatable steps.
The result?
-
Fewer mistakes
-
Clearer expectations
-
Less stress for the team
-
Less reliance on me
Systems created stability. And stability created breathing room.
The Truth About Growth
One year we brought on 100 new properties.
It felt like a huge win.
But we also lost 95.
That was the wake-up call.
Growth without retention is just expensive busyness.
I realised that more properties weren’t the solution. We needed:
Because being busy doesn’t mean you’re building a sustainable business.
Profit and retention matter more than ego growth.
What Freedom Actually Means
Freedom isn’t about working less for the sake of it.
It’s about building a business that supports your life.
For me, that meant:
-
Not checking emails at dinner
-
Not feeling sick from stress
-
Not being the only person who could solve every problem
-
Having time to think, lead and create
If you’re feeling overwhelmed right now, start small:
-
Track your time for one week
-
Delegate one recurring task
-
Document one key process
-
Review your client retention numbers
You don’t need a total overhaul overnight.
You need momentum.
Property management will take everything you give it – if you let it. But you are allowed to build something better.
A business that supports your life.
Not one that consumes it.
